Test Score Entry

This guide covers how supervisors enter test scores into Zion. Accurate and timely score entry is the foundation of the grading system.

Accessing Score Entry

  1. Navigate to Grading in the sidebar
  2. Click Enter Scores (or the main Grading link)
  3. The score entry form appears

The Entry Form

Student Selection

Search for Student:
  • Type student name or number
  • Results filter as you type
  • Click student to select
Student Information Shown:
  • Full name
  • Student number
  • Grade level
  • Learning centre

PACE Selection

After selecting a student, choose the PACE:
  • Only Assigned PACEs: Dropdown shows only PACEs assigned to this student
  • Subject and Number: e.g., “Math 1042” or “English 1015”
  • Completion Status: Shows if already tested
Tip: If the PACE you need isn’t listed, verify the student’s PACE assignments in Student Management. Only assigned PACEs appear in the dropdown.

Test Details

Score:
  • Enter the numeric score (0-100)
  • Whole numbers only
  • Validation prevents out-of-range values
Test Type:
  • PACE Test (most common)
  • Self Test
  • Final Test
Test Date:
  • Defaults to today
  • Can select past dates if entering retroactively
  • Cannot select future dates

Automatic Calculations

As you enter the score, Zion calculates:
  • Pass Threshold: Based on student’s grade level
  • Pass/Fail Status: Immediate visual indicator
    • Green checkmark = Passed
    • Red X = Failed

Submitting a Score

Complete the Form

Fill in student, PACE, score, test type, and date

Review the Summary

Verify the pass/fail status and all details

Click Submit

Confirm the score entry

Success message appears with next steps

What Happens After Submission

For Grades 1-7:
  • Score is immediately finalized
  • Available for grade calculations
  • Appears in student record
For Grades 8-12:
  • Score enters moderation queue (stage_1_pending)
  • Awaits administrator moderation
  • Not yet finalized

Duplicate Prevention

Zion prevents duplicate test entries: Blocked If:
  • Same student
  • Same PACE
  • Same test type
  • Same term
  • First attempt (attempt number 1)
Not Blocked If:
  • Different test type for same PACE
  • Retest entry (attempt number 2+)
  • Different term
Warning: If you receive a duplicate error, check if this score was already entered. If you need to correct an existing score, contact your administrator.

Viewing Recent Entries

After entering scores, view your recent entries:
  1. Click Recent Scores tab
  2. See list of your recent entries
  3. Entries show:
    • Student name
    • PACE
    • Score and pass/fail
    • Entry timestamp
    • Moderation status (for Grades 8-12)

Status Indicators

StatusMeaning
FinalizedScore is complete and recorded
Pending ModerationAwaiting administrator review
ApprovedAdministrator approved
RejectedAdministrator rejected, needs re-entry

Handling Rejected Scores

When an administrator rejects a score:
  1. Score appears in your Rejected Scores view
  2. Rejection reason is displayed
  3. You must re-enter the corrected score

Viewing Rejected Scores

  1. Navigate to Grading → Enter Scores
  2. Click Rejected Scores tab
  3. See list of scores needing correction

Best Practices

Timing

  • Enter Same Day: Enter scores within hours of test completion
  • Don’t Batch: Enter scores individually to reduce errors
  • Handle Rejections Promptly: Address within 24 hours

Accuracy

  • Check Student Identity: Verify correct student selected
  • Verify Score: Double-check against test paper
  • Correct PACE: Ensure correct PACE and test type
  • Use Notes: Document unusual circumstances

Efficiency

  • Prepare Test Papers: Organize before entering
  • One at a Time: Focus on one entry to avoid mistakes
  • Confirm Each Entry: Review before submitting

Common Issues

Wrong Student Selected

If Noticed Before Submit:
  • Clear the form
  • Start fresh with correct student
If Noticed After Submit:
  • Contact administrator immediately
  • Administrator can void the incorrect entry
  • Re-enter with correct student

Wrong Score Entered

If Grades 1-7 (Already Finalized):
  • Contact administrator for correction
  • Administrator creates audit entry for change
If Grades 8-12 (In Moderation):
  • Administrator can adjust during moderation
  • Or reject for you to re-enter correctly

PACE Not Listed

Possible Causes:
  • PACE not assigned to student
  • PACE already tested this term
  • Wrong student selected
Solution:
  • Verify student’s PACE assignments
  • Check if already tested (view student record)
  • Confirm correct student

Mobile/Tablet Entry

The score entry form is optimized for tablets:
  • Large touch targets
  • Clear form fields
  • Confirmation dialogs prevent accidental submission
  • Works offline (syncs when connection restored)
