ACE & Zion Terminology Reference

Comprehensive glossary of terms used in ACE (Accelerated Christian Education) methodology and Zion school management system.

ACE Methodology Terms

PACE

Definition: Packet of Accelerated Christian Education. Self-contained workbook covering specific topic or unit in a subject. Details:
  • Typically 36 pages
  • Includes instruction, exercises, self-tests, and final checkup
  • Sequentially numbered (1001-1144 across all grades and subjects)
  • Designed for self-paced, individualized learning

Goal Check

Definition: Daily accountability system where students set page completion goals each morning and supervisors check actual progress at end of day. In Traditional ACE:
  • Manual tracking on whiteboards or paper
  • 2-3 hours daily for compilation and reporting
  • Limited analytics or trend analysis
In Zion:
  • Digital goal setting (5 minutes)
  • Automated progress tracking
  • Real-time dashboards
  • One-click reports (<30 seconds)
Components:
  1. Morning: Set goals (start page, end page)
  2. Throughout day: Students work toward goals
  3. End of day: Mark actual progress (actual start page, actual end page)
  4. Calculate variance (actual - goal)
  5. Generate reports
Example: Goal: Pages 15-20 (6 pages). Actual: Pages 15-18 (4 pages). Variance: -2 pages (missed goal by 2 pages). See Also: Goal Check Overview

Learning Centre

Definition: Classroom or learning space in ACE school where students work on PACEs under supervisor guidance. Characteristics:
  • Typically 15-30 students per centre
  • Mixed grades (e.g., Grades 1-3 together) or single grade
  • Individual offices/carrels for focused work
  • Supervisor desk for monitoring and assistance
In Zion:
  • Organizational unit for student assignment
  • Determines which supervisor sees which students
  • Used for filtering reports and dashboards
  • Examples: “Faith Centre”, “Grace Centre”, “Hope Centre”

Supervisor

Definition: Adult staff member responsible for managing a learning centre, setting daily goals, monitoring student progress, and providing academic support. Responsibilities:
  • Set daily PACE page goals for all students
  • Monitor student work throughout day
  • Mark actual progress at end of day
  • Generate daily centre reports
  • Provide one-on-one instruction as needed
  • Maintain discipline and learning environment
In Zion:
  • Has access to assigned learning centre(s) only
  • Can set goals, mark progress, view dashboard, generate reports
  • Cannot manage students, staff, or school-wide settings

Monitor

Definition: Assistant staff member who helps supervisor with data entry tasks (setting goals, marking progress) but has no access to reports or analytics. Responsibilities:
  • Set daily goals for students
  • Mark actual progress at end of day
  • Add notes for struggling students
Does NOT:
  • Generate reports
  • View dashboards
  • Manage students or PACEs
  • Make strategic decisions
In Zion:
  • Simplified interface focused on data entry
  • No dashboard or reporting access
  • Ideal for part-time staff or volunteers

Variance

Definition: Difference between actual pages completed and goal pages set. Key metric for Goal Check performance. Formula:
Variance = Actual Total Pages - Goal Total Pages
Interpretation:
  • Positive (+): Student exceeded goal (completed more than planned)
  • Zero (0): Student met goal exactly
  • Negative (-): Student missed goal (completed fewer than planned)
Examples:
  • Goal 6 pages, Actual 8 pages = +2 variance (exceeded by 2 pages)
  • Goal 6 pages, Actual 6 pages = 0 variance (met exactly)
  • Goal 6 pages, Actual 4 pages = -2 variance (missed by 2 pages)
Uses:
  • Assess if goals are appropriately challenging
  • Identify struggling students (consistent negative variance)
  • Track student trends over time
  • Adjust future goal-setting strategies

Completion Rate

Definition: Percentage of students who met or exceeded their daily goals. Formula:
Completion Rate = (Students Completed + Students Exceeded) / Total Students Marked × 100
Example:
  • 30 students total
  • 25 marked today
  • 18 completed, 3 exceeded, 4 missed
  • Completion Rate = (18 + 3) / 25 × 100 = 84%
Targets:
  • Excellent: 85%+
  • Good: 75-84%
  • Fair: 60-74%
  • Poor: <60%

Zion-Specific Terms

Dashboard

Definition: Real-time overview screen showing Goal Check status, student progress, trends, and alerts. Types: Administrator Dashboard:
  • School-wide view
  • All centres and students
  • Strategic metrics
  • Weekly trends
Supervisor Dashboard:
  • Centre-specific view
  • Only assigned students
  • Operational metrics
  • Daily trends
Features:
  • KPI cards (completion rate, at-risk students, etc.)
  • Student progress table
  • Trend charts (7-day history)
  • Automated alerts

Data Export

Definition: Feature allowing administrators to extract raw Goal Check data as CSV file for custom analysis. Purpose:
  • Long-term archival
  • Custom Excel analysis
  • Integration with other systems
  • ACE accreditation reporting
Export Options:
  • Date range filter (last 7 days, 30 days, full term, custom)
  • Centre filter (all or specific centres)
  • Student filter (all or specific students)
  • Status filter (completed, missed, exceeded, all)
Formats:
  • CSV (comma-separated values)
  • Opens in Excel, Google Sheets, database tools

Daily Centre Report

Definition: Auto-generated report showing one centre’s Goal Check performance for a single day. Contents:
  • Centre summary (completion rate, total students)
  • Student-by-student detail (goals, actuals, variance)
  • At-risk student alerts
  • Notes from progress marking
Who Can Generate:
  • Supervisors (for their centres)
  • Administrators (for any centre)
When:
  • After all students in centre marked for the day
Time to Generate:
  • <30 seconds (vs 2-3 hours manual compilation)
Formats:
  • PDF (for printing/sharing)
  • CSV (for Excel analysis)

Weekly School Report

Definition: Auto-generated comprehensive report showing whole school’s Goal Check performance across full week (Mon-Fri). Contents:
  • School-wide summary (overall completion rate, total students)
  • Daily breakdown (Mon, Tue, Wed, Thu, Fri performance)
  • Centre comparison (ranked performance)
  • Subject analysis (which subjects struggling/excelling)
  • At-risk students (school-wide)
  • Trend indicators (current week vs previous week)
Who Can Generate:
  • Administrators only
When:
  • After week completes (typically Friday afternoon or Monday morning)
Time to Generate:
  • 30-90 seconds for 100-300 student school

Auto-Save

Definition: Zion feature that automatically saves data as you type, eliminating need for “Save” or “Submit” buttons. How It Works:
  • 500ms debounce (saves 0.5 seconds after you stop typing)
  • Each field saves independently
  • Green checkmark appears when saved
  • Spinner shows while saving
Where Used:
  • Goal entry (setting goals)
  • Progress marking (marking actuals)
  • Notes entry
  • Student profile editing
Benefits:
  • No data loss if browser crashes
  • No “forgot to save” errors
  • Faster workflow (no clicking Save buttons)

At-Risk Student

Definition: Student flagged by Zion as needing intervention based on Goal Check performance patterns. Criteria:
  • Critical: 3+ consecutive days missing goals
  • Warning: 2 consecutive days missing goals
  • Declining trend: Performance dropping >20% over 2 weeks
  • Subject-specific struggle: Consistently missing in one subject
Alert Display:
  • Dashboard alerts section
  • Daily centre reports
  • Weekly school reports
  • Color-coded severity (red = critical, yellow = warning)
Recommended Actions:
  • Meet with student to assess difficulty
  • Adjust goals lower
  • Provide one-on-one tutoring
  • Review PACE assignments (too difficult?)
  • Involve parent if pattern continues

CSV Bulk Import

Definition: Feature allowing administrators to add 20-500 students at once using CSV file upload. Process:
  1. Download CSV template from Zion
  2. Fill template with student data (Excel/Google Sheets)
  3. Upload filled CSV to Zion
  4. Zion validates data (checks for errors)
  5. Fix any errors, re-upload if needed
  6. Confirm import when validation passes
Time Savings:
  • Manual entry: 2-3 min × 50 students = 100-150 min
  • CSV import: 10-15 min total
  • Saves 1.5-2 hours for 50 students
Required Fields:
  • first_name, last_name, date_of_birth, grade_level, learning_centre_name

Academic Term

Definition: School term or semester configured in Zion for tracking Goal Check data within defined date ranges. Typical Structure:
  • Term 1: Oct 1 - Dec 20 (12 weeks)
  • Term 2: Jan 8 - Mar 25 (11 weeks)
  • Term 3: Apr 5 - Jun 20 (11 weeks)
  • Term 4 (optional): Jul 1 - Aug 30 (summer school)
Active Term:
  • Current term where Goal Check data is being tracked
  • Only one term active at a time
  • Set during school onboarding
  • Change at term boundaries
Uses:
  • Filter reports by term
  • Track student progression term-to-term
  • Archive data by term

Status and States

Student Status

Active:
  • Student currently enrolled
  • Appears in Goal Check, dashboards, reports
  • Can have goals set and progress marked
  • Counted in all metrics
Deactivated:
  • Student withdrawn, transferred, or graduated
  • Hidden from active lists (filter required to view)
  • Cannot have new goals set
  • NOT counted in active metrics
  • Historical data preserved

Goal Check Status

Not Started:
  • Progress not yet marked for the day
  • Student has goals set but no actual pages entered
  • Gray badge
  • Cannot generate reports until all students marked
Completed:
  • Actual pages ≥ goal pages
  • Student met or slightly exceeded goal
  • Green badge
  • Variance: 0 or small positive
Exceeded:
  • Actual pages significantly > goal pages
  • Student well exceeded goal
  • Blue badge
  • Variance: +3 or more pages
Missed:
  • Actual pages < goal pages
  • Student did not meet goal
  • Red badge
  • Variance: Negative

Common ACE Phrases

”Set Goals”

Morning task of entering daily PACE page goals for each student. Example: “I need to set goals before 8 AM so students know their targets for the day."

"Mark Progress”

End-of-day task of entering actual pages completed by each student. Example: “After students finish at 3 PM, I’ll mark progress for all of them."

"Goal Check Intelligence”

Zion’s transformation of traditional Goal Check from manual compilation to automated intelligence. Traditional: 2-3 hours manual work, limited insights Zion: 10 minutes total, rich analytics, real-time dashboards

”PACE Progression”

Student’s advancement through sequential PACEs in a subject. Example: “John has excellent PACE progression in Math - completing 2 PACEs per term."

"Copy Previous Day”

Zion feature that pre-fills today’s goals with yesterday’s values for quick entry. Time Savings: 5 minutes → 2 minutes for 20 students See Also: Setting Goals
